Contributions and payments

Online payments need to be with us by the 22nd of the month following the month in which they were deducted from payroll. To put it more simply –

Payroll deductions made in May must be received by 22nd June.

Payroll formats

You can use your payroll file to submit files provided, it is in CSV format and contains:

  • Member name
  • National Insurance (NI) number
  • Employer regular contributions
  • Employee net contributions

There are ways of doing this efficiently and our administration platform is set up to help you. It’s worth checking if your payroll software can automate some of the process too.

Ongoing assessment

After you've set up your workplace pension scheme you need to keep records so that you can show them to the regulator if you're asked to.

  • Keep an eye on the age and earnings of each employee to make sure you know when they become eligible
  • Check new employees for eligibility

Record keeping

After your staging date you need to keep records so that you can show them to the regulator if you are asked to.

There are two types of record you need to keep:

Employee records
Names, National Insurance number, opt-in notice and joining notice.

Pension scheme records
Scheme name, address and reference number.

Most of these need to be kept for at least six years – apart from opt-outs which need to be kept for four years.
